- Director of Estate Management
Job Title: Director of Estate Management Salary: $75,000 - $90,000 DOE plus commission (Full-Time) Location: Carmel, CA Description:
The Director of Estate Management supports the daily operations of the Estate Management team and leads the team with oversight of property inspections, client communication, project tracking, and team organization. This role helps ensure estate services are delivered efficiently while maintaining consistency across processes, client expectations, and team standards. The Director of Estate Management also provides leadership support within the department by managing workflow systems and contributing to team development.
Responsibilities
- Track and audit weekly property inspections to ensure all homes are being serviced per their contracted terms.
- Create the weekly inspection list for the Estate Management team based on schedules, client arrivals/departures, vendor appointments, and priorities.
- Monitor inspection progress during the week and follow up to ensure completion by deadlines, in coordination with the Associate Directors.
- Act as primary project manager in Asana for the Estate Management team by uploading weekly inspection lists, overseeing that bin/mail schedules are assigned by Manager, and tracking completion of tasks along with Associate Directors.
- Create, organize, and manage seasonal or special projects in Asana, such as annual winterization and storm preparation alongside support of assigned Managers.
- Visit properties to maintain knowledge of inventory.
- Oversee Associate Directors property-related tasks in Asana to maintain workflow organization.
- Assist with managing the shared Estate Management calendars for scheduling and team coordination.
- Design and implement team SOPs and processes with Vice President of Client Services & Strategic Partnerships
- Support the Events Team as needed for special events and estate-related client functions.
- Manage Estate Services Coordinators, Estate Services Managers through weekly 1:1 meetings, workflow oversight, and ongoing guidance.
- Conduct prospective new hire interviews and assist with onboarding by adding new team members to company platforms and software. Create training programs and implement.
- Assist with reviewing and editing end-of-month time tracking time reports for Estate Management and Concierge.
- Support homeowner pre-arrival and post-departure services, occasional concierge requests, and property readiness.
- Play a strategic role in forward progress of business operations with Vice President of Client Services & Strategic Partnerships
- General oversight of invoices for properties and approve expenses as needed.
- Submit and organize receipts for purchases tied to property needs or project work.
- Stay informed on activity by monitoring all Estate Management email correspondence with clients and providing updates or input as needed.
